Project information

SNV is currently implementing a 5-year (2024-2029) livestock project, INCLUDE (Inclusive Livestock Development for Smallholder Farmers). The project aims to improve resilient livelihoods for smallholder livestock farmers in Busoga, Rwenzori, Greater Ankole and Kigezi regions. The project targets 75,000 smallholder farmers in these four subregions. The project will adopt a farming systems approach integrating livestock and crops, having livestock (dairy cattle, piggery, sheep, and goats and poultry) as an intervention entry point.

To address this, the project applies the Participatory Integrated Planning (PIP) approach, an innovative method for transforming small-scale subsistence farm households into more productive and sustainable farms. At its core, the PIP approach motivates farmers to change their mindsets and improve their livelihoods through conscious, collective action.

SNV would be happy to provide a learning ground for fresh graduates under our procurement, logistics and operations department. SNV INCLUDE Project is therefore looking for two Interns to fill up the Operational Internship Positions in Jinja and Rukungiri.

Purpose of the Role

The purpose of this function is to efficiently manage the front desk through cordial, timely and effective internal and external communication including supporting operational functions of the office.

The Operations Intern will provide day-to-day administrative, logistical, procurement and operational support to the project team, while gaining practical experience in INGO operations and project support systems.

Job Description

Administrative Support

  • Support routine office administration, filing and maintenance of operational records.
  • Assist with preparation, organization and documentation of meetings, workshops and project activities.
  • Maintain proper electronic and physical filing of procurement documents

Logistics and Travel Support

  • Support logistical arrangement for filed activities, meetings, workshops and staff travel.
  • Assist with preparation and follow-up of vehicle movement plans and transport requirements.
  • Coordinate accommodation, venues and other logistical requirements as assigned.

Procurement Support

  • Assist in preparing and following up procurement requests and supporting documentation.
  • Support collection of quotations and maintenance of procurement records in line with organisational procedures.
  • Following up delivery of goods and service and ensure relevant documentation is completed.

Office and Asset Management

  • Support tracking of office supplies, equipment and other project assets.
  • Monitor office consumables and support timely replenishment.
  • Assist in maintaining an organised and functional office environment

Finance and Documentation Support

  • Support compilation and preliminary completeness checks of activity and operational documentation before submission for processing.
  • Generate Procurement to Pay purchase orders in SAP.
  • Assist with tracking outstanding operational documentation and follow-up with responsible staff.
  • Ensure documents are properly filed and readily available for reference and compliance reviews.

General Operational Support

  • Provide operational support to regional/project teams as required.
  • Liaise with relevant internal teams and service providers to facilitate timely delivery of operational requirements.
  • Perform other related duties assigned by the supervisor in support of effective project implementation

Qualifications

  • Recent graduate with Bachelor`s degree in Business Administration, Procurement and Logistics, Finance, Accounting, Management or another relevant field
  • Fresh graduates are strongly encouraged to apply; prior professional work experience is not required.
  • Basic understanding or interest in administration, procurement, logistics, finance and project operations.
  • Good organizational skills and attention to detail.
  • Good written and verbal communication skills.
  • Basic proficiency in Microsoft office applications, particularly Word, Excel and Outlook.
  • Ability and willingness to learn, take initiative and work effectively within a team.
  • Demonstrated integrity, professionalism and ability to handle organizational information
